Review the fictional enquiry entering the workflow.

Request Received

This preview uses fictional data and predefined rules to illustrate a CRM workflow. Validation fields, duplicate logic, routing rules, CRM fields, permissions, notifications and review points are agreed during setup. No live CRM record or notification is created by this demo.

WORK WITH THE SYSTEMS YOU ALREADY USE

Connect the Workflow Without Creating Another Data Silo.

Depending on platform support, workflows can connect CRMs, forms, email, calendars, spreadsheets, project-management tools, help desks, accounting systems, databases and internal APIs.

TOOL ECOSYSTEM

Ecosystem Connectivity

We assess your existing CRM, forms, email and business tools to identify which connections can support the workflow. We recommend suitable integrations around your data flow and account access, using rule-based automation for predictable steps and AI where interpretation is useful.

TECHNICAL SCOPING

Confirmed Scoping & APIs

Only integrations confirmed during technical scoping are included, verifying endpoints, webhooks and custom field mapping.

AUTH & SECURITY

Authentication & Data Control

Strict technical review of authentication protocols, security permissions and client data ownership across every connected app.

FAILURE HANDLING

Rate Limits & Error Resilience

Proactive architecture assessing rate limits, API quotas, failure handling, retry logic and exception logging before go-live.

Third-Party Note: Software subscriptions, automation tasks, messaging, API usage and premium connectors are separate unless expressly included.

AUTOMATION WITH EXCEPTION HANDLING

A Workflow Is Only Useful When Failures Are Visible.

Where included, the implementation may use required-field checks, duplicate controls, retry rules, error alerts, activity logs, approval steps and human queues.

DATA INTEGRITY

Validation & Duplicate Controls

Systematic checks ensuring required properties exist, formats are valid, and duplicate entries are flagged or merged before processing.

RESILIENCE & ALERTS

Retry Rules & Error Alerts

Automated retries handle temporary API rate limits or connection drops, dispatching instant notifications if manual intervention is needed.

AUDIT & OVERSIGHT

Activity Logs & Approval Steps

Detailed activity histories provide complete transparency across executions, routing sensitive checkpoints through human approval queues.

GOVERNANCE & TESTING

Shared Governance & Scoping

Your team approves business rules, permissions, messages and data access. Hubflow configures the agreed process, tests normal and failed scenarios and documents key operating requirements.

Data & Security Notice: No automation should be the only copy of critical data. Clients remain responsible for source-system security, lawful data use, backups and timely review of exceptions.

BUILT FOR TEAMS WITH REPEATABLE OPERATIONS

A Strong Fit When Work Moves Across Too Many Tools.

SALES & REVOPS

Sales Teams

Improve lead ownership, pipeline stages, reminders and sales handoffs.

CLIENT DELIVERY

Agencies & Consultancies

Connect enquiries, proposals, onboarding, project tasks and client communication.

OPERATIONS

Service Operations

Standardise bookings, service requests, task assignment and completion updates.

FINANCE & ADMIN

Finance & Administration

Route approvals, reminders, document requests and recurring internal tasks.

SUITABILITY CRITERIA

A Strong Fit When:

  • The underlying operational process repeats
  • Rules and branching logic can be documented
  • Target systems provide suitable API or webhook access
  • A designated human owner is available to handle exceptions

Not a Fit When: The process changes every time, source data is unreliable or the requested automation bypasses necessary approval and control.

PRICED BY WORKFLOW COMPLEXITY

Start With the Process Causing the Most Friction.

SINGLE WORKFLOW

Focused Workflow Build — From £1,500

One-time implementation.

One core process, one CRM or source system, basic routing, updates, notifications and testing.

The included workflow, connected systems, routing rules and acceptance criteria are agreed before work begins. Data cleanup, migration and additional workflows are quoted separately.

ADVANCED PIPELINE

Advanced CRM Automation — From £3,500

One-time implementation · Custom scope.

Multiple stages, teams or systems, deeper data mapping, approval paths, reporting and exception handling.

Scope is agreed around the number of workflows, systems, teams, approval paths and testing requirements.

MONTHLY RETAINER

Ongoing Management — From £400/Month

Separately agreed monthly service.

Technical monitoring, agreed rule changes, integration checks and minor workflow improvements.

Monitoring coverage, support hours and the allowance for changes are defined in your plan. New workflows, major migrations and substantial redevelopment are quoted separately.

Prices are starting points in GBP. Focused and Advanced builds are alternative implementation options; ongoing management is agreed separately. CRM licences, automation-platform subscriptions, premium connectors and usage charges are additional unless expressly included.

FREQUENTLY ASKED QUESTIONS

Clear Answers on CRM & Workflow Architecture.

Do we need to replace our CRM?

Not necessarily. We first assess whether the existing CRM can support the required process before recommending migration.

Can you clean our existing CRM data?

Data cleanup or migration can be included as a separate scope after the quality and volume are reviewed.

Can it connect several tools?

Yes, where suitable APIs, permissions and limits exist. Every connection is confirmed during scoping.

What happens when an automation fails?

Where included, the workflow can retry, log the issue or alert a responsible person. No system is completely failure-free.

Will you train our team?

Basic handover or user guidance can be included. Formal or ongoing training is quoted according to scope.

Are software costs included?

Not automatically. CRM licences, automation tasks, premium connectors and third-party usage are normally billed separately.

Can we change the process later?

Yes. Small agreed changes may fall within management; significant new workflows require a separate quote.

What is the difference between a Focused Workflow Build and Advanced CRM Automation?

A Focused Workflow Build covers one clearly defined process with agreed routing, record updates and notifications. Advanced CRM Automation supports more complex requirements across multiple stages, teams or systems. We recommend the appropriate scope after reviewing your workflow.

Can you automate operational tasks and supplier approvals?

Yes, where the process follows documented rules and the systems support suitable access. Examples include overdue-task alerts, exception queues, supplier quotation routing and purchase approvals. Authorised team members retain control over purchasing decisions and sensitive actions.

Does every workflow need AI?

No. Many CRM workflows work well with defined rules, triggers and field mapping. AI is considered where interpreting unstructured information or preparing a summary adds value, with appropriate validation and human review.
